Getting paid on time is one of the most common pain points for sleep consultants running their own business. You deliver incredible results for families, but chasing invoices is demoralising and time-consuming. The good news is that a few simple systems changes can dramatically reduce late payments and make the whole process smoother for everyone.
Require payment upfront or at booking
The most effective way to eliminate late payments is to collect payment before you begin work. For discovery calls this is rarely feasible, but for your full packages, requiring a deposit or full payment at the time of booking is entirely reasonable and professionally standard. Frame it positively — it secures the client’s spot and means they can focus entirely on the program rather than thinking about an upcoming invoice.
Use a payment link, not an invoice
When you send someone a payment link they can pay immediately in under a minute. When you send them an invoice, it goes into a pile of things to deal with later. For initial bookings, a direct payment link via Stripe, Square, or your booking platform converts far better than a traditional invoice.
Invoice promptly after sessions
If you do invoice after the fact, do it the same day — not at the end of the week. The longer you wait, the more the client mentally deprioritises it. A same-day invoice arrives while the session is still fresh and the value is top of mind.
Set clear payment terms from the start
Your terms and conditions should clearly state your payment terms — due on receipt, net 7, or whatever you choose. Communicate these at the start of the engagement, not as a footnote on the invoice. When clients know what to expect, they plan accordingly.
Follow up without apology
A polite, professional payment reminder is not rude — it is good business practice. Send a reminder the day payment is due, and another two or three days later if it has not been received. Keep it warm but clear. Most late payments are due to forgetfulness rather than intent.
